Responsibilities
Tasks:
- Administrative function & project cost control function by performing the following duties personally:
Responsibilities:
- Keep track of time attendance and timesheet and prepare manpower availability report as per contract
- Work with other members of the team to maintain good relations with all parties at all times
- Follow up on the collection of receivable and timely escalation of billing issues
- Implement & communicate updates on ALSTOM Corporate instructions; Sector directives; policies & programs led by Business
- Responsible as a process owner for the relevant internal control activities
- Ensure proper implementation of delegation of authority (DoA) and ensure all transaction of the site are fully executed in accordance with the DoA.
- Keep track of assets movements such as company assets and consumable stock of the site
- Assist Operation Manager to achieve the site’s target.
- Prepare ad-hoc reports as required
- Arrange Pre-approval for site expenditure.
- Support for:
- Administrates the contractual elements of any sub-contracts with regard to finance and commercial matters
- Provide necessary information to ensure proper coding of WBS code in local PMx
- Checks the accuracy of the data accounted for the project (customer invoices, suppliers’ invoices, timesheet, travel expenses, site overheads, etc.)
- Checks and monitor monthly cost movements
- Presents all site summary financial data i.e. expenditure in a transparent way
- Assist in the preparation of cost estimate to project manager/controller to be validated during the Project Reviews
- Actively involved in budget preparation and budget administration (including site capital expenditure) related to the site
- Ensure all relevant documentations are prepared and kept to support the project review & internal control
Requirements
- Candidate must possess at least a Diploma, Advanced/Higher/Graduate Diploma, Bachelor's Degree, Post Graduate Diploma, Professional Degree, Business Studies/Administration/Management, Secretarial or equivalent.
- Applicants must be willing to work in Papar.
- Preferably Junior Executives specializing in Clerical/Administrative Support or equivalent.
- Full-Time position(s) available.
